Product Specialist - Legal workflows

Role Objective:

To design, implement and optimize automated legal workflows and matter maps that guide legal professionals through the lifecycle of a matter in Legal Matter Management (LMM) software solutions. Ensuring that systems support the unique needs of our clients in law firms and corporate legal teams.  Curate and manage high quality documentation around software products that support client communications, training, ensure effective product implementation and testing.

Key Responsibilities:

  1. Workflow Automation & Optimization
  • Design, implement, and maintain automated workflows within the Legal Matter Management (LMM) system.
  • Collaborate with clients to understand their needs and translate them into efficient workflows.
  • Configure and customize the system to support various legal workflows, including legal spend management and time and billing.
  • Monitor and analyze workflow performance, identify areas for improvement, and implement changes to optimize efficiency.
  • Develop and manage workflows to track billable hours, generate invoices, and manage client billing processes.
  • Enhance existing legal workflows to incorporate new features and functionalities.
  • Act as the go-to expert for internal teams, offering support and expertise on legal workflows.
  1. Legal Content Curation:
  • Create and maintain business documentation on new features, testing, implementation, and client presentation.
  • Support the development team during the development process with clear, comprehensive and well-defined requests, perform desk checks and share feedback.
  • Curate legal content for AI products.
  • Develop and manage comprehensive content relating to products, for example, client requirement scoping documents, user profiles, user test cases, training materials, guides, release notes and other resources to facilitate product development, testing and user adoption.
  1. Implementation of New Matter Maps
  • Ensure new matter maps include all essential elements (matter type defaults, folders, fields, SLAs, etc.).
  • Upload new maps to the Wiki and provide clear descriptions of their purpose.
  • Develop and maintain standardized folders for common legal processes (Litigation, Settlement, LOD, etc.).
  1. New Feature Development
  • Support testing and sign-off of new features and functionalities.
  1. Training & Collateral
  • Assist in the handover of new features and updates to the business teams (example implementation and sales teams.)
  • Maintain the training portal with up-to-date information and resources.
  • Produce training content for new employees, SOPs for Matter Managers and Contract Managers, and a Contract Playbook.
  1. Collaboration & Support
  • Foster a collaborative work environment and share knowledge with colleagues.
  • Provide support to team members and seek assistance when needed.
  1. Innovation and Competitor Analysis
  • Conduct market research to identify trends, customer preferences, and gaps in the current product offerings.
  • Evaluate competitor CLM software to analyze features, functionalities, and user experience.
  • Inform product development and marketing strategies.
  • Recommend improvements to address emerging needs and opportunities in the legal and business environment.
  • Stay abreast of industry trends and regulatory changes to ensure the software remains relevant and compliant.
